Greetings from the desk of the Secretary,

Here be a collection of minutes from not-so-recent committee meetings. This is by no means a complete list, and will be added to when the couple I forgot in the Presidential Suite are found.

Disclaimer: these minutes are abridges of all doodles, cock jokes and irrelevant shit.

Console LAN Planning

Exam period between 27th April and 22 May
Therefore hold before exams, 25th April
Starting at 12:00pm.
No Rock Band, as too noisy, people stand around waiting rather than playing other games.
Games suggested: Halo 3, SSMB, SFIV, Soul Calibre, possibly Fifa 09, Wipeout HD.
Retro stuff – SNES, Mega Drive, possibly Dreamcast, Saturn.
May need to borrow one set of speakers from forum folk

PC LAN Stuff
Bandwidth charges – QMU wants to charge us for resources used. Supposedly sent bill ages ago, but sent to SRC, not us. Want £25 per LAN. Will be requesting actual bandwidth stats before paying anything, as we are willing to pay for what we use, rather than a blanket charge.
Interwub problems – will be testing before we go, but reports say that network now more reliable. Lewis to speak to Ally.
Date 22-24th May. Need to check closing date of QMU.
Games – Crysis Wars, BF2, TF2, COD4 hardcore/casual, Audiosurf tournament.
Back to shouting at people, because they are all masochists and long to be bullied.

Intertubes - nightmare. Tried everything. Need to find out who is responsible. Have been emailing President, not sure who else to contact. Elections currently running. Need to get off Wireless network.
Other venues - Williams room not option due to problems with some committee members connections to the Uni IT services. GUU possible, but concerns about where exactly we could set up and paying as we are not affiliated. May be something for next committee to decide on if they decide to swap at beginning of next year. Need to ask QMU for alternative sources of web. Ents office used to allow easy connection but has now moved.
Lack of attendance/getting people to play games.
BF2 excellent. Need non-Steam based titles. However, many are too high end for the laptops some members bring along. Steam needs to be ran in offline mode before leaving stable net connection.
Games suggested - UT2k4, Q3 - onslaught, bombing run. COD4 fun, DOW back up each version, DOWII entirely Steam-dependant.

Console LAN
Will have separate meeting to discuss.

Post LAN season activities
Blood bowl - prize for tourament. Suggest giant vat of Haribo.
TF2 night - Wednesdays?
Whatever.

In the interests of glasnost, here be the minutes from the latest committee meeting. This thread will be removed following the next meeting and merged with the archive. The new minutes will then be posted.

* Planning for next LAN
* Console LAN


Next LAN

* GUGs – still no communications from Ally regarding Food Factory booking.
* Social convenor has changed, had been emailing wrong email address, so no progress on QM/Pause crossover event.
* Set up at last LAN mostly good, aside from crappy QMU wifi.
* Suggested Williams Room to escape crap intertubes, but more difficult due to Uni rules regarding non-Uni web traffic and VPNs.
* Game timetabling – big scheduled spots for big games, freeform slots for smaller, cult titles and limited multiplayer slot games.
* Top 6 games at time of writing – L4D, TF2, BF2, COD4, DoW, CSS.
* Communication – e.g. pulling cables without checking on essential net usage is a very bad idea. Stems from poor communication from all, not just committee. Need to suggest to members that problems need to be brought to someone's attention before the spiral.
* In regards to network traffic, last LAN connection maxed constantly. Will look into possibly banning specific offending IPs, blocking ports and going round making sure no-one's running torrents in the background.
* Fire Pixie.
* Map rotations need to be updated and re-jigged to make things more interesting.


Specific Games

* DoW – discussion on possible campaign, agreed probably more successful to run during quiet summer months. No tournament this LAN due to other time commitments.
* BF2 – Looked at map rotation. Squads and commanders to be assigned prior to LAN. Specific thread will be started in due course.
* TF2 – must have people in the server to be successful. Should make sure that everyone willing to play plays at the same time.
* COD4 – will be played in two different slots. Normal mode and hardcore mode will both be played, though at separate times. People who prefer one over the other should be considerate and play without complaining with compromise. Map rotation discussed.
* CSS – would like to run friendly tournament, will approach one or two members to run.
* L4D – will be played in cult slots.
* Audiosurf – 5 track tournament, participants to play through tracks throughout weekend, best score wins. Tracks to be pre-selected by committee.
* Remainder of meeting spent putting together timetable, publishing announcement thread.
* Out of time for console LAN discussion, will meet again to knock out details, exact dates.
* Pub night pretty soon.

Agenda
Budgeting:
Receipts for last year – SRC would not accept drinks purchased for tuck shop (e.g. Jolt), because they were not purchased for a specific event. Also, Dell switches not accepted for same reason. Lewis to write email to SRC to query Jolt and switches decision. £150 has been given to the club by the SRC grant, which breaks down as £75 for fliers and £50 for network cables, £25 unknown. With tuck shop, Jolt was sold at nearly cost price, with only approximately 5p being added for profit.
Expenditures for this year that will be required – membership cards, fliers for specific events most likely not required, as there are sufficient fliers from last year that are still usable. Reaffiliation with SRC will be in Autumn, possibly in the new year. A new larger promotional banner is needed, with a clearer indication of what the club is about (for use at Freshers’ Week and events). Niall’s father will possibly produce one on our behalf for free (or suitable bottle of whisky). A3 colour posters for events cost last year’s committee £6 for 8 posters.
Currrent funds – £150 grant + £33 in PayPal account + £140 approx. in cash box. Will get accurate count of funds in cash box. Niall to attempt to sell old unused equipment on eBay on the club’s behalf.
Inventory to be prepared by Craig prior to final handover of equipment so that we know exactly what stuff we have.
Forum moderation
All agreed that policy needs to be more definite. Also, more mods are required in case trouble brews while the two current moderators are not available. All voted in favour of making all of current committee full moderators, with the requirement that they consult with other committee members prior to making major decisions on the forum. Creating a guideline for moderators to consult when deciding what to do with an offending thread was discussed and approved. Clarity in moderating is necessary, as well as continued use of moderator complaint thread. Best way to deal with posts discussed, concluded that editing posts to remove content and leaving behind an explanation of why it was modded and by whom would be best. However, from last year’s committee’s experience, temporary bans were discussed and approved for serious offenders.
Freshers’ Fair
Stall at Freshers’ Fair will include Guitar Hero III on PS2 (provided by Niall), laptop showing trailers and gameplay footage of current and popular games played, as well as a laptop for sign-ups on the day. Lewis has 1 laptop to use, need to find one other (EEE PC for sign-ups would be cool). All sign-ups will pay £1 for club membership, receiving membership card (to be discussed later) and possibly something cool such as a CAT5 bracelet. Club currently has resources to create such bracelets and was approved as something different and memorable to bring new members back. £1 membership and card suggested and approved on the basis that a member with a card as well as a small financial investment will be more likely to follow up by joining forum/attending LANs or events. Try to get table as far away from GUGS as possible in order to remain recognizable, due to over-lap in interests.
Freshers’ LAN
Things to do this yea r still to be finalised. However, no admin table, encourage socialising with new members and make sure no new members are left without friendly faces around them to draw them into the society.
Other Events
Rather than have LANs that feature console gaming, decision was taken to experiment with new dedicated console events to raise profile of club and recruit new members. Rock Band tournaments, Halo 3 leagues, combined with portable gaming at the same event as other games. Will contact QMU to try to work out if hosting such an event in Jim’s Bar would be possible, with QM providing possible prize to winners. Would raise profile of club considerably, considering how well attended Def Leppard event was in Jim’s last year. Concerns regarding workload in organizing two events in one month – rota suggested to ensure no one member takes on too much.
Membership Cards:
Costs to be finalised. Premier Plastic Cards (http://www.premierplasticcards.co.uk) recommended by other University societies for good cheap service. Have got sample pack, basic pricing. To contact for more information and estimate based on requirements (solid colour card, customisable for members, possibly sequential numbering) and report back to committee.
Logo:
Suggested possible redesign/refresh of current logo for website. Ideas include retro pixelated image of Pause paw. Website characters discussed, concluded that low-profile characters not viable. Suitable images from TF2, HL2 and Halo will be used. Kenny and Niall to work on this and the logo.
Room Booking:
QMU good, free, suitable for larger events. Williams Room also good, especially for small scale LANs. Williams room after-hours issues with guards insisting we leave before 1am will be addressed.
Severs and Clans:
Website and Vent server hosted for free by Jan. Game servers have been discussed on forum, virtualized US servers have poor pings. Need to look into UK type servers. Dedicated server will cost approximately £30-40 per month, which is too high a cost for the society at the moment. Pause clan tags discussed, approved for when playing organized games online so that any new members can pick out current Pause members.
Discussed somehow incorporating live server info/Vent channel info onto the front page of the website. Any suggestions from users would be appreciated.
Investigate benefit/cost of license for newer Vent client. Steam group control needs to be passed over to new committee from old. Use of ‘Events’ and ‘Announcements’ feature of Steam discussed, particularly for organising online games at specific times.
Forming/encouraging clans for COD4, WiC, DoW etc discussed and approved. To research amateur leagues to assess viability of Pause clan.
Sponsorships and prizes:
LANs should be fun and competitive. Light-hearted prizes for organised tournaments probably better than expensive gaming equipment prizes. To look into organizing discounts in stores such as CHIPS and G Force for Pause members.
Network admin or lack thereof:
Discussed possibly not having dedicated Network admin, as currently have expertise on committee to handle most server issues. However, if any member wants to take up this position, they would be very welcome to join the committee.
Any other business
Niall needs money for Pause domain.
Bank account transfer – to sign account over from last year’s committee to this year’s committee. Discussed possibility of switching bank due to noob employees.
Trust + tuck shop – selling at cost vs. minimal profit. Will need new equipment at some stage, so generating small income here would be good.
Price for LANs – maintain at £5. In comparison to other LAN societies, £5 per event is low and very good value for money.
Meeting ended, to be followed by numerous hours of Super Smash Bros Brawl. Score.


Minutes for Meeting 12/09/08


Need to get money from last committee, now possible because they are back from holidays etc.
Will transfer equipment at next LAN to save pointless trips back and forth. Thursday, Lewis and Giga will try to transfer bank account.
Forum moderation good. “fuck you spain”. Spam bot banning good, China and Spain blocked to cut down on shit.
Fresher’s fair still waiting on confirmation from SRC, need to start compiling list of game trailers to show. Tues 16th – Thursday 18th. New banners – Niall’s dad is fairly keen to try to make us a banner, but might be difficult to get out free banner. £60 base price for a paid-for banner. Could try to get by on existing banners.
New logo – the new logo looks good, should go with it. Font looks good, especially with rounded logo. T shirts for fresher’s week? Verily. Cocks don’t look good on logos.
T shirts – design good, optional colours would be good and can be done fairly easily. Should stick with limited colours to keep costs down.
Room booking – uni term start = 22nd of September. Fresher’s LAN should be 27-28th September, following on monthly after that. December should be left out due to exam strains. Starting after Christmas, 24-25th of January (though no exam timetable up yet, so need to check again at later date). Last LAN before exam period -21st or 28th weekend. AGM time should be before end of May. Scheduling console events separately. Tester event during Fresher’s Week, allowing us to possibly continue console LANs in future in Jim’s. Need to get things confirmed from QM (Lewis). Been given free reign. Lewis offered to flyer for the event.
Rock Band competition, point scoring so that it’s fair – Iain had info.
Console only events, easier to discuss face-to-face.
Servers – try to co-ordinate through Steam Groups before getting a server. Depends on numbers that show up. Try to set up Wednesday as Game Night. Get people on Vent/Hamachi and encourage new members.
Membership cards – one colour, on plain background, will get design before committing.
Niall and Neil – get jobs, you lazy bums.
Things to do – card design, logo update on website, bank account transfer.

LAN seemed to be a success – new people appeared interested.
Friday night set up was fail – nothing appeared when it should. President drunk and disorderly.
Muppet to do VNC configs to hopefully help with network control. All agreed server side controls good idea to manage non-LAN related network traffic.
Rule about GCFs discussed – people should attempt to get them shared over the network, rather than download them via Steam.
QQing and COD4 – hardcore vs. normal mode. Normal mixed with hardcore possible solution. TDM for normal. Tournament discussed. Forum thread, rules to be decided by members. 4 vs. 4. Fuck CoD4 (I got fed up at this point).
Crysis Wars good, seeing as it's free for LANs. Armaghettron was also a success. Should try better use of the projector.
Timetable evaporated. Too much attempted, fractured by Saturday morning. List of people with seats booked to be brought next time.
GUGs have requested cross-over event, agreed.
Tuck Shop should be within sight of committee members, extra key needed.


Console LAN
Rock Band tournament vs. fuck around. Projector for this.
Halo 3 – 4 vs. 4. 2 vs. 2 tournaments?
Audio Visual may be able to lend projectors and screens.
Mario Kart Wii, SNES.
Poster should feature Rock Band, Halo 3, Pro Evo, SSMB.
After this, simple organisation of equipment and who was bringing what.

Too many games of Rock Band/Halo 3 played, not enough variation of games.
Tournaments should definitely be enforced next time round.
Low turnout most likely due to rubbish weather, later start time would be ideal.
Organising and actually bringing all the equipment was a huge amount of effort for the committee members. Should try to get more members bringing equipment to reduce the strain on committee.
Need more people to show up from existing membership, would be good to have new members mingling with existing members to show that the club has a wide variety of people attending events.
Next one after new year.
Need another person to be available for equipment lifts.


PC LAN set up

6:30 is the earliest we can set up
Try to encourage higher turn-out.
Stick to timetable more thoroughly – games get missed/chaotic without enforcing the game times.
Muppet finished with server – should hopefully prevent any further problems with overloading QM wifi.
The remaining time was spent discussing poster designs and formulating timetable for the next LAN.

Can I take it that we are cool with the status quo of GUGS conflagration convention and Pause being on in the Food Factory on the same day?

All should be well, and the only problem would be if people from GUGS or their guests starting interfering with people's kit, or if people started playing rock band or something really loud on the same floor as people who are trying to roleplay or whatever nearby.

Inter-GUGS communication has been poor, so I am taking it upon myself to mediate this.

If there's a problem with this, or we need to talk about it further, please consider me your primary GUGS contact.

We haven't had Rock Band at any of the LANs this year, so that won't be a problem. If you're worried about noise you can try and find a gag to put on Lewis, but other than that, no worries. :p

If it's anything like last year there shouldn't be any problems with us sharing. There's likely to be someone around at Pause all weekend and I imagine there'll be someone from GUGS around all weekend as well.

yeah I'll be around anyway, all weekend.

incidentally Im running a pub quiz with snap on the saturday night, which all of pause are welcome to attend. There are shiny prizes and everything. And it will probably be in the food factory anyway (though I dunno yet).
